Using Teamstudio Export to Extract File Attachments From Legacy Notes Databases

Legacy HCL Notes/Domino databases often hold critical files—attachments, embedded images, even outdated OLE objects—buried in aging applications. Manually extracting these is a headache. Teamstudio Export cuts through the chaos, letting you extract your files from targeted select groups of old data notes. Here’s how it works.

What Types of Files Can You Export?

Teamstudio Export handles three key file types:

  1. Attachments (PDFs, spreadsheets, etc.)

  2. Embedded images (e.g., logos in rich-text fields)

  3. OLE objects (legacy embedded content like old Visio diagrams)

Target Precisely What You Need

No more dumping entire databases. Filter data notes using:

  • Selection formulas (e.g., “Find all records where Form = ‘NameOfForm’)

  • Existing views (e.g., “Course Materials by Department”)

  • Lucene full-text search (e.g., “Find notes containing ‘2021 curriculum”)

Walkthrough: Extracting Course Materials

Scenario: Extract all attachments, OLE objects, and image training course assets from an old Notes/Domino application.

Let’s extract all attachments, OLE objects and embedded images from an old internal training application concentrating on all course collateral and materials.

Step 1: Define Your Scope

First we need to target all data originally created with the ‘Course Materials’ form “CCML00SS”

Use the selection formula: SELECT Form = "CCML00SS"

Utilize selection formulas to build the scope of your data set.

Step 2: Preview & Verify

Add a “Trainer Materials” field to the preview grid by pressing ‘Add’ and selecting the field you’d like within the preview grid.

This allows you to confirm you’re pulling course materials and collateral you are targeting.

By incorporating a key field from our targeted data we can verify what we are selecting is relevant.

You may utilize any fields from your application for this same purpose.

Step 3: Export Files

Next we setup a few additional preferences:

  • Choose export location (e.g., D:\Shared\Training\Courses_Materials)

  • Select all three file types (attachments, OLE, embedded images)

  • Hit “Export”

Result: Files are then extracted and saved to your specified folders.

Files stay grouped by parent Note ID, preserving context.
